We are seeking a highly organized, versatile person to join our team in Alameda. This role supports internal design teams in a variety of operations. The Administrative Assistant will provide administrative and clerical support to track project workflow across teams in order to ensure effective and efficient project organization.

Job Duties

  • Log, distribute and file project documentation – proposals, contracts, submittals, RFI’s, meeting notes, specifications, change orders.

  • Run reports and spreadsheets, data entry in excel, Deltek, etc.

  • Maintain and coordinate team calendars, schedules and task lists.

  • Assist with computer software questions.

  • Pickup comments and edits to project documentation.

  • Manage paper & electronic archiving.

  • Implement ways to improve administrative procedures

  • Manage multiple assignments concurrently.

  • Assist with sourcing, ordering, tracking, returning project samples.

  • Enter and maintain project information in Vision.


Minimum Qualifications

  • Be able to juggle various tasks within a timely and expedient manner, paying special attention to accuracy and communication with multiple team members

  • A minimum of 1 years of experience

  • A Bachelor's degree in Business Administration or a related field

  • Familiarity with Deltek is a plus
